Who We Are

The CloudStack Collaboration Conference is an annual event focused on the cloud orchestration platform, Apache CloudStack, a top-level project from the Apache Software Foundation. 

This event is organized by volunteers from the Apache CloudStack community. It is not officially organized by the Apache Software Foundation (ASF); however, the ASF is aware of the event and fully supports it. The conference is a non-profit initiative, and all proceeds from ticket sales and sponsorships are used solely to cover event-related expenses.

 

What Data We Collect and Why

We collect personal data in the following ways:

  1. Newsletter Sign-Up

If you subscribe to our newsletter, your email address will be collected and stored by our email service provider, Mailchimp. You can unsubscribe at any time via the link in any email or by contacting us directly.

  1. Contact Forms

When you contact us via our website form, we collect your name, email address, and message content for the purpose of responding to inquiries regarding sponsorship, ticket information, or general event questions.

  1. Call for Papers (CFP) Submissions

If you submit a speaking proposal via our Call for Papers form (hosted on Google Forms), we collect the information you provide (e.g., name, email, biography, talk title, description) to review and select presentations for the event.

  1. Ticket Sales

Tickets are sold through Eventbrite. When purchasing a ticket, your information is processed in accordance with Eventbrite’s Privacy Policy.

 

Third-Party Services Disclosure

We use trusted third-party services to help us manage communications and operations:

  • Mailchimp – for email marketing and newsletters
  • Eventbrite – for ticket sales and attendee management
  • Google Forms – for speaker submissions and form data collection

Please note that we may use additional third-party services in the future as necessary to support the event and its operations. Any such providers will be selected carefully and expected to uphold privacy and data protection standards consistent with this policy.

 

Cookies

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

 

Embedded Content From Other Websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

 

How We Share Your Data

By registering for the event, all attendees acknowledge and agree that their contact details may be shared with event sponsors and organizers. This information may be used for communication and promotional purposes related to the event.

In addition, we may provide attendee names to the venue hosting the event for security, access control, or logistical purposes (e.g., issuing badges or maintaining a guest list). This is done solely to ensure a safe and organized event experience.

If you prefer not to have your data shared in this way, please contact us at info@cloudstackcollab.org prior to the event to request exclusion from such distribution.

We implement appropriate technical and organizational measures to safeguard the personal data we collect, including secure storage systems, limited access permissions, and regular data review procedures.

 

Data Retention

We retain personal data only for as long as necessary to fulfill the purposes for which it was collected, including for event planning, communication, and historical record-keeping.

  • Newsletter subscriptions are managed via Mailchimp. Your email address will remain in our mailing list until you unsubscribe or request removal.
  • Contact form submissions and Call for Papers (CFP) entries may be stored in our internal systems, including secure email and databases, to support event organization and planning. This data is retained for reference and may be kept for future event cycles unless you request its deletion.
  • Ticket purchase information is processed and stored by Eventbrite in accordance with their privacy policy. We retain access to ticket buyer data for event coordination and attendee management.

If you have submitted any data to us, you may:
